Privacy Policy of THE RUN SLOVAKIA

1. Who controls your data

The controller of your personal data is the civic association therun.sk, o.z., Páričkova 1099/24, 821 08 Bratislava, Slovakia, company ID (IČO) 52130398 (“we” or the “controller”). We run the website therun.sk and the The Run Slovakia app, and organise THE RUN SLOVAKIA relay race (the “event”).

For anything about your personal data, write to [email protected] or by post to our registered address.

We have not appointed a data protection officer — we are not required to.

2. What data we process and where it comes from

You give us data yourself: when you sign up for the newsletter (e-mail address); when you create an account and register a team (first and last name, e-mail, phone, date of birth, gender, country, T-shirt size, estimated 10 km time, team name and logo); when you add team members (their name, e-mail and other details — as captain you are responsible for having their consent to pass these details on); when you sign the runner’s declaration (a statement about your health and the absence of contraindications — a special category of data, see section 3) and, for a minor, the legal representative’s consent; when you contact us (the content of your message).

If you sign in with Google or Apple, they send us your name and e-mail address.

We also collect data automatically: IP address, browser and device details, cookies (section 8), your device’s token for app notifications and, during the event, the GPS position of the relay baton (the team’s device, not your phone) and the leg times.

3. Why we process data and on what legal basis

Providing data is voluntary, but without the data under (a) and (c) we cannot register you as a participant.

We share data only with parties that help us run the website, the app and the event, under data processing agreements or as independent controllers:

DigitalOcean LLC — hosting of the website, the app and files (data centre in Frankfurt, Germany),
Google (Firebase) — signing in to the app and delivering notifications; Apple — Sign in with Apple,
Mailgun — e-mails sent by the app (confirmations, payment details),
Mailchimp — sending the newsletter,
Sentry — app error logs; PostHog (run on our own server) — app usage statistics; Capgo — app updates,
TrackTheRace — tracking the relay batons’ positions during the event,
TermsFeed — managing cookie consent,
our accountants, legal advisers, the event’s medical service and the volunteers at the handovers (as far as needed for safety and organisation),
Google (Tag Manager, Analytics, YouTube), Hotjar and Meta (Facebook, Instagram) — only after you consent to analytics/marketing cookies,
public authorities where the law requires it.

Some of these providers may transfer data to the USA under the European Commission’s adequacy decision (EU-US Data Privacy Framework) or standard contractual clauses.

We do not sell your data.

5. Start lists and results

First and last name, team name, category and times are published at therun.sk and in the The Run Slovakia app — this is an essential part of a sporting competition (Art. 6(1)(b) and (f)). You can ask for your last name to be shortened in the public results; let us know before the start.

6. Your rights

You have the right: to access your data and get a copy; to rectification; to erasure (“right to be forgotten”) — you can also delete your account yourself in the app (Settings → Delete account); to restrict processing; to data portability (for (a) and (e)); to object to processing based on legitimate interest (including publishing your likeness — we assess each objection individually, considering whether you are recognisable as the main subject); to withdraw consent at any time (without affecting the lawfulness of earlier processing).

To exercise your rights, write to the address in section 1. We reply within one month.

You also have the right to lodge a complaint with the supervisory authority — the Office for Personal Data Protection of the Slovak Republic, Hraničná 12, 820 07 Bratislava 27, dataprotection.gov.sk — or with the supervisory authority in the country where you live.

7. Minors’ data

A person aged 15 to 17 may take part only with the consent and in the company of a legal representative who is a member of the same team. We process such a participant’s data with their legal representative’s consent.

8. Cookies

The website uses cookies and similar technologies:

strictly necessary — session, security, remembering your language and cookie settings; always on,
analytics — Google Analytics (via Google Tag Manager), PostHog, Hotjar (on the live tracking page only) — only with your consent,
marketing — Meta Pixel, YouTube — only with your consent; they let us measure campaigns and show you information about the event on other websites.

You give and change your consent in the cookie bar (the “Update cookies preferences” link in the footer). You can also block cookies in your browser — the website will work, but some features may be limited. We keep analytics and marketing cookies for at most 13 months.

9. Automated decision-making

We do not make decisions about you based solely on automated processing, including profiling, that have legal effects.

10. Changes to this policy

We may update this policy, for example when providers or the law change. The current version is always on this page with its effective date. We tell registered users about significant changes by e-mail or in the app.

11. Language versions

In case of any conflict between language versions, the Slovak version prevails.
